Position Summary:
This position will assist the Credit Department with new accounts, collections, posting of accounts receivable, and other tasks as assigned.
 
Essential Job Duties and Responsibilities:
  • Set up accounts
    • Each credit representative is assigned specific sales areas but will be called upon to assist other team members when needed.
      • For all accounts:
        • Enter name, address, terms, and other information into the Customer Master File.
        • Assigns route numbers if needed.
        • Inform sales team.
      • For Open and Weekly accounts:
        • Make calls on references to get ratings.
        • Run business credit report from major credit bureau.
        • Research additional items as requested by credit manager.
        • Inform sales team of final credit limit assigned by credit manager.
  • Posting of Accounts Receivable
      • Enter credit card receipts and post payments to customer accounts daily.
      • Assist Accounts Receivable Department in reconciliation issues.
  • Collections Activities
      • Each credit representative is assigned specific sales areas.
      • Print aging reports and forward to sales team twice monthly.
      • Contact past due customers via telephone, fax, email and letter.
      • Set up payment plans as needed.
      • Follow up on all payment promises and payment plans.
      • Work with sales team to resolve customer disputes and problems that impact customer ability or willingness to pay.
      • Occasional research at customer request.
      • Prep accounts for third-party collectors as needed.
      • Answer phone calls to the Credit queue
  • Resale
      • Verify resale cards.
      • Enter information to Customer Master File and Resale File.
      • If appropriate, run sales tax report to request tax credit.
  • Orders
      • Review orders for prepay accounts.
      • As appropriate, charge credit card on file or be alert for credit card authorization coming over fax machine.
      • Work with customer and/or salesperson as needed for release.
         
  • Will be required to perform other job duties as requested, directed or assigned.
     
     
    Job Knowledge, Skills and Abilities:
  • Credit and collections work experience
  • SAP knowledge required
  • Strong 10-key proficiency
  • Comfortable with basic computer programs
  • Ability to learn new software
  • Must be team player who can thrive in a fast paced environment.
  • Must be extremely detail oriented and hands on.
  • Requires good communication skills both verbal and written.
  • Must be a self-starter and able to multi-task and meet deadlines.
  • Must have flexible schedule to work various coverage times, including some Saturdays
     
    Physical Demands/Work Environment:
  • Repetitive use of hands and arms.
  • Eye strain from continual computer use.
  • Physical ability to lift 10 to 15 lbs.
     
    Education:
    High School education or equivalent required, with minimum of 1-2 years collections experience.
